The full service report is sent to operators to share updates on availability of their products. Inbound data in this report is updated every 24 hours, and all other data is updated at the moment the report is run.
Summary Tab Definitions
The summary tab provides an overview of the data from the other tabs in the report.
Dot Foods Servicing DC Name: Dot Foods distribution center who will be servicing open orders to distributors
Weekly Sales Forecast: Anticipated total distributor case sales for the current week
Dot Inventory on Hand: Inventory on hand at Dot Foods distribution center designated in the Dot Foods Servicing DC field
Weeks on Hand: Average number of weeks that inventory was on hand at that particular DC. Calculated by dividing total inventory on hand by the weekly forecast.
Dot Inbound Expected Quantity: Total number of cases that Dot Foods has on open purchase orders from the supplier. Please note, some of these could be scheduled out as far as 3 months.
My Approved Distributors Expected Quantity: Total number of cases on open orders for specified distributors who are pulling this item for your chain
All Distributors Expected Quantity: Total number of cases on open orders for all distributors
Net Quantity Available: Current inventory on hand plus inbound quantity minus current open orders.
Inventory on Hand Tab Definitions
This tab shows the current inventory on hand at Dot Foods warehouses.
Dot Stocking DC: Location of Dot Foods Distribution Center that has the product on hand
Item Status: Shows the current status of product on hand
“Active” means the product is available for sale
“Discontinue pnd" means that once the product on hand is sold through, the item will no longer be available from Dot Foods
“Discontinued” means the inventory has been sold through and is no longer available
Inventory Status: Alphabetical code that indicates the current status of the cases on hand
“RG” indicates product is within the sales window based on the manufacturer’s expiration date.
“EX” indicates that those cases have passed the window of delivery to distributors to maintain the outbound inventory guarantee
“HD” indicates that the cases are on hold for re-labeling or other reasons
Inventory on Hand: Total current quantity of cases on hand. There may be open orders against this number.
Inbound POs Tab Definitions
This tab shows the current inbound POs from suppliers to Dot Foods warehouses.
Dot Foods Purchase Order Number: This is the purchase order number assigned by Dot Foods for the product that is on order from the supplier
Item Ordered Date: Date that the buyer submitted the purchase order to the supplier
Item Pick Up Date: The date that either the Dot Transportation, Inc. (DTI) truck or the supplier truck is scheduled to pick up the product from the supplier
Earliest Delivery to Distributor: This indicates the first delivery date that the product should be available to be delivered to distributors
Dot Stocking DC: Location of Dot Foods Distribution Center that has the product on hand
Dot Quantity Ordered: This is the number of cases that were ordered by Dot Foods for that particular item and delivery date from the supplier
Dot Quantity Expected: This is the number of cases that is expected to be delivered to Dot Foods
Quantity Changed: This is the difference (if any) between the number of cases that were ordered and the number of cases that Dot Foods is expecting to receive
Last Redate Reason Description: If the PO will not be received on the original expected date, this shows the reason for the product not arriving on time
Open Orders Tab Definitions
This tab shows current open orders for your approved distributors for the items shown. This does not include open orders for other distributors.
Customer Item Number: This is the number assigned by the distributor for the item that they are purchasing from Dot Foods
Dot #: This is the number assigned by Dot Foods for the items that are available for purchase
Internal Distributor Number: This is the Dot Foods internal number assigned to the distributor
Internal Order #: This is the number assigned by Dot Foods to the distributors purchase order that the item will be on
Distributor Purchase Order #: Purchase order number that was provided by the distributor to Dot Foods for that particular item order
Order Status: This shows one of the following statuses for the order:
“Loaded”: Item is loaded on a truck for delivery
“Picking”: The inventory is being picked to get ready for delivery or pickup
“Pre-Picking”: The system is checking to ensure that product is on hand or will be on hand at the time of picking
“Open”: The distributor purchase order can still have changes made to it
Dot Foods Servicing DC Name: Dot Foods distribution center who will be servicing open orders to that distributor
Distributor Order Quantity: The original number of cases that the distributor ordered from Dot Foods
Distributor Expected Quantity: This is the quantity that the distributor can expect to actually receive from Dot Foods
Quantity Changed: Difference between the original quantity ordered and the expected quantity to be delivered
Reason for Quantity Change: If there has been a quantity decrease from the initial order, this will show the reason why the order was cut
“Special Order”: Item that Dot Foods does not keep on-hand inventory of, so the distributor must allow additional time for the product to arrive from the supplier
“TEMPRY Unavailable”: Item temporarily unavailable from the supplier
“Supplier Shortage 1 week”: The supplier was not able to fill Dot Foods’ most recent order but intends to have it available for Dot Foods to receive in 1 week
“PO Re-Date Supplier”: The supplier was not able to fill Dot Foods’ purchase order at that time and has pushed out our pickup date to a future date and time
